Data refresh timing & Frequency
-
The processing is scheduled and maintained by Roghnu. In general processes are scheduled nightly around 2:00 a.m. but can vary.
-
Process time depends largely on the quantity of rows by the client. Some processes can take seconds and others take 15 minutes, or even up to an hour.
-
A full refresh is everything for the entire table or period. A non-full refresh is as of your last refresh.
-
A full refresh includes master tables (customer, vendor, etc.) and the current plus last two periods for the GLACCOUNTBALANCES and GLDETAIL. Depending on the tables you begin to use we can expand our full refresh cycle. Other transaction tables are incremental adds.
-
Using the https://apps.roghnu.com Data Portal our clients can log in and view reports / dashboards related to data processing. Roghnu further monitors the processing as part of our service to help ensure integrations are working as expected.
-
Yes, using our manual refresh functionality a user can update the Data Vault themselves, anytime. This is great when it is month end and manual journal entries have been posted and a client wants to refresh their data for reporting out the Data Vault. We can, based on customer specific requirements, schedule more frequent refreshes. This is simply a higher level of service and will result in more API calls with Sage Intacct.
Data use
-
Yes, Users must be connected to the Roghnu Forti Client VPN and can then access their data directly using the SQL Server connection or ODBC connection in Excel.
-
Yes. If you are using Tableau, Power BI, Spreadsheet Server, Excel, etc. you can pull in your Sage Intacct data and use it as you would like.
-
Yes. The Roghnu web application has a CSV import utility that allows users to create their own tables in their Data Vault. The data can be refreshed using updated CSV files.
client computer & Networking
-
A virtual private network (VPN) is a mechanism for creating a secure connection between a computing device and a computer network, or between two networks, using an insecure communication medium such as the public Internet. Roghnu uses the Fortinet FortiClient product for connecting to our direct database service.
-
A Site-To-Site VPN is a persistent connection between Roghnu and a customer’s domain / firewall. This connection allows a user or a system user to connect without using the desktop VPN. There is an additional fee to setup and manage the Site-To-Site VPN.
-
Clients require the installation of the Fortinet Forti Client VPN application to each computer that will be accessing the Roghnu Data Vault. Using the VPN application is required to access the data securely. Installation requires Admin rights on the computer. Roghnu provides all the documentation to set up the connection.
-
The Roghnu VPN is a split tunnel and works well with existing customer VPN needs. If there are issues with the VPN we may require the customer to contact their IT department / MSP to help establish the connection based on the customer’s security protocols.
-
Yes, there is an option to establish a Site-To-Site VPN connection. Roghnu network engineers work with our client’s technical resources to create the setup.
-
No. Our clients leverage the Roghnu Okta subscription which allows for the setup of secure groups enabling clients to have admin rights to add and remove their own users.
data security
-
All data is stored in the United States at a Lightedge data center in Iowa.
-
No. Each client has their own SQL Server database.
-
We prioritize data security through multiple layers of protection.
Our VPN setup ensures that data remains safeguarded within our network and is never transmitted to external services like Amazon or Azure.
We operate within a SOC 2 Type II audited environment, incorporating built-in security measures to maintain the highest standards of data protection.
Sage Intacct to data vault subscription
-
The Sage Intacct to Data Vault subscription works with Web Services and the Sage Intacct APIs. We can pull standard API data sets and custom application data developed by Platform Services. For example, Roghnu has our own CRM developed in Sage Intacct and all custom objects are included in our Data Vault.
-
By default, the Sage Intacct to Data Vault is a unidirectional integration. We can support integrations back to Sage Intacct based on the client's use case and need. We commonly write back to Sage Intacct for our customers.
-
Our integration is based on the available API's and Sage Intacct reports that we are granted access to and are available from Sage Intacct. We can pull any and all data that is made available by Sage Intacct. Essentially, all modules are available. External applications may have data that is available through Sage Intacct but access depends on the each market place partners implementation of their solution. Some products may provide access to extract data and others do not. Roghnu cannot guarantee third party product access to extract data without looking into their applications and potentially talking with the software publisher.
-
All dimensions that are setup in Sage Intacct for the client's install are included. We do not limit data processed from Sage Intacct due to system constraints. We may limit data extracted based on its need or value for the customer. This is a decision made by the customer working with Roghnu to determine the best solution is delivered.
-
Yes, custom fields are processed to the Data Vault.
-
Yes, user defined dimensions are included in the Sage Intacct API's and flow from Sage Intacct to the clients Data Vault.
-
Yes, After August 2023 Roghnu will no longer be allowing the use of our Marketplace Partner (MPP) Sender ID. This requirement is based on the fees Sage will be charging MPPs vs the cost of a client buying the Developer License.
-
The current changes to the Sage Intacct Developer License fees and various levels of service. As the Essentially, a Developer License allows for 100,000 API calls per month. There are multiple levels of service for additional API calls by Sage if they exceed the base level of calls per month.
-
At your top level navigate to: “Company” and then select the “Admin” tab and then the “Usage insights” link under Usage metrics. Then go to the “API Usage” tab. Select a single prior Month and it should refresh to show how many Transactions are being run by application.
-
Setup in Sage Intacct is very straightforward and includes the following:
Validation that Web Services are turned on
Setup a Roghnu ROLE with Read Only rights
Setup a Web Services User and assign them to the Roghnu ROLE (No charge for web services users by Sage)
If using the Roghnu Sender ID, enter the Roghnu Sender ID under the Company Security settings
After that setup Roghnu will receive the user and can start setup and historical data processing to the Data Vault.
-
A Sage Intacct “instance” can be identified by the Sage Intacct log in credentials. An instance can be defined by the Company ID. Each company ID identifies a separate instance.
-
Sage Intacct subscribed to data includes the modules that a customer has purchased. For example, if expense management was purchased, we can extract the expense tables.
-
The Roghnu processing of Sage Intacct data requires the Reporting Periods to determine period / monthly data selection. We use the reporting periods to determine the data to process. The month end or month ended period is typically used to determine the processing. However, each customer can be setup with the calendar schema implemented in their Sage Intacct instance. Further, we require not only prior reporting periods but also current year reporting periods to support active data processing.
